Anantha Adhvan Elite Tours – Tour Cancellation and Refund Policy

This policy outlines the terms and conditions for cancellations and refunds related to all tour packages booked with Anantha Adhvan Elite Tours. By booking a tour, the client agrees to the terms set forth below.

1. Advance Payment and Non-Refundable Portion

A mandatory advance payment (deposit) is required to confirm any booking.

The advance payment, up to 20% of the total tour package cost, is strictly non-refundable in all circumstances.

This non-refundable portion covers administrative costs, preliminary service charges, and initial commitments made to third-party suppliers (e.g., non-refundable deposits for accommodations, transportation, or permits).

2. Client-Initiated Cancellation and Refund Schedule

All cancellation requests by the client must be submitted in writing via email or registered post to Anantha Adhvan Elite Tours. The effective date of cancellation is the date the written request is received by the company.

Refunds for the remaining amount (the total package cost minus the non-refundable advance) will be processed based on the following schedule:

Note: If the initial advance payment is less than the 20% non-refundable amount, the 20% non-refundable fee will still be applied to the total tour cost, and the client will be liable for any difference.

3. Exceptions and Special Services

  • Flights, Train Tickets, and Visa Fees: Cancellation of third-party services such as domestic or international flight tickets, train tickets, or visa application fees are subject to the individual policies of the respective airline, railway, or visa processing agency. Any cancellation fees imposed by these third parties will be directly deducted from the client’s refund, in addition to Anantha Adhvan Elite Tours’ cancellation charges.
  • Non-Refundable Services: Certain services, including promotional offers, non-refundable hotel rooms, or special event tickets, may be non-refundable regardless of the cancellation date. This will be communicated at the time of booking.
  • Partial Utilisation: No refund will be provided for any part of the tour, service, or meal that is paid for but not utilised by the client once the tour has commenced (e.g., early departure, missed activities, or unused hotel nights).

4. Cancellation by Anantha Adhvan Elite Tours

Anantha Adhvan Elite Tours reserves the right to cancel any tour prior to departure due to unforeseen circumstances, minimum group size not being met, or other operational reasons.

  • In the event the tour is cancelled by the company, the client will be offered the choice of:
    • A full refund of all monies paid to the company.
    • Transferring the amount paid to an alternative tour of equivalent value.
    • Transferring the amount paid to a future tour, with any price difference adjusted.
  • The company will not be responsible for any incidental expenses the client may have incurred as a result of the booking, such as visa fees, vaccinations, travel insurance, or non-refundable flights/train tickets booked independently.

5. Force Majeure

Anantha Adhvan Elite Tours shall not be liable for any failure or delay in performance or non-performance resulting from any cause beyond its reasonable control, including but not limited to acts of God, natural disasters, war, riots, civil unrest, political closures, government regulations, strikes, epidemics, or pandemics (Force Majeure Event).

  • If a tour must be cancelled or curtailed due to a Force Majeure Event, the company will offer a credit note for future travel or a refund of recoverable costs from suppliers, after deducting the non-refundable advance and any unrecoverable payments made to third-party suppliers.
  • The company is not obliged to pay any compensation in the event of a Force Majeure cancellation.

6. Refund Processing

  • All refunds will be processed within 15-30 business days from the date the cancellation is confirmed and the final recoverable amount is calculated.
  • Refunds will be issued to the original source of payment used for the booking.
  • Bank or credit card charges associated with the refund transaction may be deducted from the final refund amount.

7. Amendments to Bookings

Any changes to an existing booking (e.g., dates, names, itinerary) requested by the client are subject to availability and may incur an amendment fee, plus any additional costs charged by third-party suppliers. Amendments requested close to the departure date may be treated as a cancellation and re-booking.
